Creating an asset and access
In order to be able to give a user access to specific assets, you first need to create that asset if it doesn't already exist. This asset can then be granted user access to. You can also publish assets to other organizations so that they themselves can manage access to that asset.
To be able to create assets you need to be an Asset Administrator and also be a Delegator for the organization. Talk to you Organization Administrator if this is something you need.
Creating an asset
To create an asset, click on "Asset" in the left meny and then simply click on "Create asset". You will then need to:
- Set a name for the asset
- Set a so-called "operation" - what is the asset ment to control? Most often than not, it's about unlocking a door. In our example below, we want the asset to control a door from the key card system RCO.
And this is how it would look like in the mobile app:
Then click on "Save" - You now basically have a ready to use asset!
However, on the next page, you have a few different fields and options that you might want to fill in. Let's look at them one by one:
- About - here you can set the general information about the asset, such as:
- Name - the name of the asset (in case you wish to change it)
- Category - optional field where you can choose to categorize the asset. Users can then sort their access by category in the app.
- Address and GPS position - set the address, including street number, here. The GPS position will then automatically be set, provided that the address is found through Google Maps. If not, you will have the option of setting an address and GPS position manually.
- Description - a description of the asset, for instance: "Entrance to our main office".
- Extended security - determines wether or not the user have to type his/her PIN-code each time they want to unlock the door.
- Proximity validation - determines wether or not the user have physically be close to the asset to operate it. NOTE: requires installation of hardware on site.
- Guest access - activates the possibility of allowing for guest access. NOTE: at the moment, this is only available through integration / API.
- Images - exactly what it sounds like. Here you can upload one or several images that the user will see in the app.
- Sharing - here you can set how the asset should be visible for internal as well as external users. You can also share the asset with one or more organisations. For instance if you are a property owner, you can share your assets with tenants who can them administer acccess to these doors themselves. Please note that the tenant will need a their own organization in Accessy. Read more below on how to share assets with other organizations.
- Operations - here you'll determine what the asset should control. Again, it's more often than not a door that should unlock, but in the future it might as well be turning on or off the light in a room. In our example here, it's still a door we wish to control and thus named the operation to "Unlock". This is what it will look like in the app:
When you feel satisfied with the asset, save the settings and you can begin

Sharing an asset with a different organization
To share an asset with a different organization, click on the tab "Sharing". There you'll find a plus-sign to add organizations to which you want to share the asset with:
When clicking on the plus-icon, you will get a new window where you can determine the conditions for the share. PLEASE NOTE: you will need to know the entire name of the receiving organization. If you dont know the full name, somebody with them should know. If not, please contact Accessy-support for help.
When you feel it's all looking like you want it to, click "Save" and the share will be added to the list of organizations the asset has been shared with:
